Picking Practice Management Software For your Firm (120)

If you are starting up or planning to start up your firm this podcast is for you. 

Being a solo- practitioner is where we all start. It can be a scary move, but it is well worthwhile!

When you’re starting your firm, you want to be focused on getting clients in the door so that you can have a healthy cash flow and climb to the next level. Automating as much as possible is essential and starting with the right practice management software helps you with that.

Let me go into more detail about what is happening with the practice management landscape, especially here in Australia.

Just recently, in one of our masterclasses at the Scalable Business Lounge, we invited a software practice management systems guru to speak to us about all the options on the market. Having someone who knows an awful lot about these practice management software products, what they do and what they don’t do which ones are good for what types of firms, sizes, and practice areas were invaluable to all the lawyers in the group. 

In my law firm, we have had the same software platform since 2009; we haven’t always been happy with it. So I tried to move to a new platform, but that journey is so overwhelming and difficult that I am stuck with this ridiculous lock-in contract I learned later that you could negotiate terms that don’t involve lock-in contracts.

INVEST IN YOUR PRECEDENT BANK

As lawyers, we rely on precedent and documents because the documents that we created are often repetitive. Many firms rely on precedent banks that are offered by their practice management system or another source such as a random collection that has been collated over the years working as a lawyer.

Here’s one mistake you can avoid…

Since it has been almost a decade since we have cleaned and updated our precedent bank and a lot of lawyers/solicitors have come and gone and contributed their two cents to our precedent bank it has become untidy, messy and overall caused inefficiency in our firm.

What I did was assigned a senior associate lawyer to work on our precedent bank and it turned into 8 weeks of full-time work so we can have our own precedent bank for family law that is tidy, up-to-date, and efficient.

It has been an incredible investment.

Now, we can be as efficient as possible in our firm because inefficiency costs the firm a lot of money.

So, to avoid this kind of mistake. Here are some best practices to keep your precedent bank up-to-date:

  1.  Update Your Precedent Bank Regularly - make it a best practice and set your business up now like you're growing a team. Make it a best practice to clean and update it quarterly or monthly.
  2.  Get a Senior Lawyer to Update or Create - bringing documents up to date and making sure it's as exact as you want them and ensuring they are expertly done.
  3.  Set a Style Guide - set the tone for how you want to deal with things and acknowledge people and those sorts of things. Create a templated guide. This is how you can control the work and quality of work produced without micromanaging your team.

How to Amplify Your Law Firm's Organic Marketing (118)

The big question is: Why did you start your law firm?

Have a think about that. Most of us are tired of working for someone else on their terms, and we start our firms to create a better life for ourselves, but we end up being with the worst boss ever and never giving ourselves a break!

At law school, we don’t learn how to run a law firm or a business and so when we start our law firm, we do what we can to get work in and get everything sorted, but we soon realise that there is a lot more to it! We get incredibly bogged down running a law firm and wearing multiple hats and start heading towards burnout.

These days I have learnt how to be out of the daily grind of running a law firm and instead focus on working on the business rather than working in the business. I only want to do what brings me the most joy, happiness and results.

So, let’s build a firm this 2023 where you can build a better life. I love to show law firm owners a different way to manage and leverage their time and skills.

So, here’s what you can do to create a marketing plan around your law firm's organic marketing. Be intentional and write a plan out.

This is how to set up for success with your content or organic marketing (The value that you are putting out for others and how your service can help others):

  1. Identify Your Client’s Pain Points - Think about who are your ideal clients and focus on how you can help them solve their problems... Work out a content strategy targeted to the client you’re trying to attract.
  2. List of PR Targets - Once you’ve created a content plan for your target clients, send it to PR agencies or media outlets you can provide this content to them. This will be a free advertisement for you, and PR agencies appreciate well-crafted content ideas that they don’t have to write themselves. So, it's a win-win!
  3. List Your Law Firm's Keyword For The Whole Year - This is important for your paid ads (e.g. Google, FB, etc…). There is no point in using a keyword that no one is searching for. Think about specific words that people use to look up your service. Remember to use your ideal client's language rather than the legal term when it comes to marketing.

Remember, you need to be intentional with your organic marketing. It is called organic, which institutes it happens by itself; this is a myth!

What To Put in Your Annual Marketing Plan (117)

No more reactive marketing as a strategy to build your law firm. Be proactive with your firm’s marketing strategy and get your firm humming by the end of 2023.

By this time I’m back from Tanzania from a 3-week holiday with my family! I have a 21, 18 and 12, and I just want to nab with them while I can and create a great adventure and memories with them.

So, for the last few episodes, we’ve been talking about marketing your law firm. Why?

Because Clients are the oxygen to your business, without them, your business fails, and as law firm owners, this should be our focus on making sure that we have plenty of work coming through our law firm doors.

What most lawyers do is:

  • Rely on a handful of referrals which are never enough to really scale your firm and when work dries up they start to panic and get into action, throw money everywhere and see what sticks.

This is not a great law firm marketing strategy!

Vs. How I do it:

  • Plan out my marketing for the next 12 months;
  • Schedule it out, set a marketing budget, and plan everything before the year starts!! If you’ve been listening to my series of marketing podcasts lately.

By now, you’ve done all this research, and you’ve got a little direction for the next 12 months.

Here are some suggested activities that you could be putting into your marketing spreadsheets:

  • Weekly:

  1. Write One Article per week - (Keyword-focus) that will be great for your SEO and convert it into a newsletter which is a good way to keep in touch with people.
  2. Invite One Person from your Contact List weekly - over lunch or coffee. So, in a month, you’ve invited four people off your contact list.
  3. Post Content on Your Social Media Every Week - make sure it’s consistent with your brand, and don’t be afraid to repurpose your social media content.
  • Monthly: 

  1. Attend 1-2 events every month - Build relationships, go to the same events, and don’t spread yourself so thin that you don’t get to know anybody. Better to focus on an event or two. Commit and go regularly.
  2. Drive Google Reviews every month - make sure you have an automated set-up. Google reviews are gold. They will help you out in so many ways. 
  3. Send out 1 PR article once a month - it helps you build credibility and backlinks to your website. This also helps in attracting people to your firm.
  4. Schedule a handwritten thank you card - Send this to people who are referring work to you. Especially during holidays or special occasions.
  5. Plan your Google, FB, etc. ad words spend - Don’t be intimidated. We get a lot of work through Google ads, I've tweaked and perfected it though over the years to get this humming and working really well.
  6. Plan when you run Google Ads - you need to observe your target demographic, when they are most active online, etc. Quarterly: Sponsor a table at an event- invite people in your target list of referrers people you want to build a relationship with.
  7. Update Google My Business - check it, and make sure everything is right, like addresses, and everything is functioning properly.
  8. Enter Industry Awards - by this time, work out what those industry awards are and when you need to make applications, as they really do help.
  9. Host a Big Lunch - in a private dining room; this work brilliantly. You have a captive audience, you get a network, and you determine who you want to meet this year. Show them what you offer. Keep it light and fun. Have a good time.
  10.  Invite Target people to a webinar - this adds value to your target clients or referrers.
  11. Update Your Firm’s Website - make sure that the links and admin pages are working and forms are linked to the right emails. Ensure that your calendar is linked properly.
  • Annually:

  1. Send out Christmas cards/ gifts - to your referrers and other offices that send you to work. A nice way to be on other people’s radar
  2. Hold a Function at your office - get to know and have fun with other offices; everyone loves a party.
  3. Plan to do the Marketing Plan for the following Year!!!

How to Get More Referrals for 2023 (116)

Planning on your best year yet as a law firm owner?

As a law firm owner, I know you wanted to create more freedom and profit for yourself. You knew it’s going to be difficult but it can be overwhelming if you’re in the middle of a forever-evolving journey of being a law firm owner. But as long as you keep moving forward where you are now is going to be way different in 5 years' time.

Marketing and getting clients is what’s going to take your business to the next level. So you can start “Working ON your business rather than IN it”... Which is the goal!

FREEDOM, PROFIT and GROWTH. So you can do whatever you want for your firm.

A lot of law firm owners don’t know where to start the marketing plan so what happens is a lot of people get involved like an agency (SEO, digital or ads) then add them as Adhoc thinking it’s a solution in getting more work through the door. But it’s not really an agency that can help you rather you should have a WHOLISTIC MARKETING PLAN. It’s your job as a law firm owner to look at it as a whole.

You need to spread yourself across these 3 types of marketing:

  • Organic Marketing
  • Paid Marketing

This is what I share with my fellow law firm owners at the SCALABLE BUSINESS LOUNGE. I help them create a holistic marketing strategy where we cover all three strategies and more.

First, let’s take a look at your referral marketing. This is your firm’s “word of mouth” but this is never enough to keep your business growing. You need to be intentional about your referral marketing.

Here are a few tips for you on how to maximise and launch into 2023 for your intentional referral marketing:

  1. Collate a Target List - You need to know who are these people that are sending work through your door. You might not know these people yet. But you want to create a relationship with these people. As a law firm owner, you want this relationship to be yours. Again, we need to be intentional in creating these referrers.
  2. Collate a List of Events - Think about the local events in your area throughout the year. Pick what you’re going to be involved in this year. What works for me really well is to invite a whole table of people (e.g. Breakfast, charity or ball events). And these people are the ones on my target list. It’s a good excuse to invite potential referrers and build a relationship with these people in a really powerful way.
  3. Collate a List of Venues - In your local area like a restaurant where you can host a couple of lunches. I find it great to host around 10- 20 people and invite them all to one lunch and do it a couple of times a year. And don’t forget to make it fun!
  4. Make Social Media Friends - make some friends on your social media as they can be people that can refer you to work. If there are other lawyers in your area follow them on social media, comment, and make that effort. It’s a good way of tapping into real people that can actually refer to your work and eventually make a connection and invite them to your events.

I hope these ideas and tips can be useful for you in starting to be intentional when it comes to your referral marketing.

Marketing and getting clients is what’s going to take your business to the next level. So you can start “Working ON your business rather than IN it”... Which is the goal!

A lot of law firm owners don’t know where to start the marketing plan so what happens is a lot of people get involved like an agency (SEO, digital or ads) then add them as Adhoc thinking it’s a solution in getting more work through the door. But it’s not really an agency that can help you rather you should have a WHOLISTIC MARKETING PLAN. It’s your job as a law firm owner to look at it as a whole.

You need to spread yourself across these 3 types of marketing:

  • Organic Marketing
  • Paid Marketing
  • Referral Marketing
